Can we provide operating instructions digitally before 2027?
Yes. Since April 2024, the EU guide to the Machinery Directive (Edition 2.3) has made it clear: anyone who meets the conditions of the new Machinery Regulation also complies with the Machinery Directive that still applies. So you can switch today and start saving on printing and shipping costs right away, rather than waiting until the deadline.
How does SIMPL support the requirements for digital operating instructions?
The regulation sets three conditions: access must be indicated on the machine, the instructions must be printable, downloadable and storable, and they must remain available online throughout the lifetime, at least ten years. SIMPL meets all three: a QR code on the machine, a download directly from the public page, and contractually guaranteed availability. Important: the conformity assessment of your machines remains your responsibility as the manufacturer; SIMPL provides the digital delivery for it.
What applies to machines already delivered?
The regulation applies to machines placed on the market from 20 January 2027. For your existing fleet, digital delivery is optional but worthwhile: QR codes are easy to retrofit, and your service technicians and customers can access the documentation immediately, instead of searching for the right binder.
How long must the instructions stay online, and who ensures that?
For the machine’s expected lifetime, but at least ten years after being placed on the market. This is exactly why a PDF folder on your own server is not enough: the URLs have to stay stable for years, even across system migrations. In SIMPL, every machine has a permanently valid address, hosted in German data centres, with contractually guaranteed availability.
Does SIMPL replace our editorial system or SharePoint?
No. Your instructions continue to be created where they originate today, in your editorial system, in Word or on the network drive. SIMPL takes over the next step: delivery at the machine, with version, language and a stable URL. Your internal processes stay exactly as they are.
How quickly can it be introduced?
The usual approach: create existing machines via Excel import, store operating instructions at the machine-type level, then print and attach QR labels. For a first product series this is a matter of days, not months, and your personal contact guides the rollout.
