Paper-based inspections, scattered plant data, incomplete overview
Centralized asset overview, paperless forms, dashboards for proactive maintenance
It was important for us to make our asset management and inspections more organized. SIMPL works really well for that: Our forms are digital, the asset overview is complete, and we work without any paper clutter. That makes our day-to-day work easier.
X-Cooling specializes in process cooling, from design and installation through ongoing operation. The company manages a growing number of cooling systems for customers in various industries. Each system has its own specifications, maintenance intervals, and testing requirements.
In everyday practice, this means that technicians regularly visit customer sites, conduct inspections, document conditions, and prepare maintenance reports. Before SIMPL, this was largely done on paper. Inspection forms were filled out by hand on site and then typed up in the office or filed away in folders.
The consequences were predictable: The overview of the facilities was incomplete because information was scattered across various lists, files, and paper folders. Forms were lost, illegible, or arrived at the office days late. And when a customer asked about the current status of their system, the team first had to gather information from various sources before it could provide an answer.
With SIMPL, X-Cooling has transitioned its entire facility management system to a digital platform, doing so in stages—starting with facility inventory, then inspection forms, and finally data analysis via dashboards.
Every cooling system is now centrally recorded in SIMPL, along with technical specifications, maintenance history, documents, and inspection intervals. The scattered Excel spreadsheets and paper folders have been replaced. When a customer calls, the team has all the information about the system on their screen in seconds.
Inspection forms and maintenance checklists are filled out directly on the tablet at the job site. Measurement values, condition descriptions, and photos are immediately uploaded to the system. No retyping, no scanning, no delays. Every inspection is documented, traceable, and accessible.
Through the integrated dashboards, the team can see at a glance which systems were last inspected, where maintenance is due, and what the overall condition of the system fleet is. This makes scheduling more efficient and helps ensure that maintenance is initiated in a timely manner.
